Here at Gnarly Tree Food Events we would like you to have a happy and safe experience with us so please read our terms and conditions of business. We hope that working together you will receive the best possible and safest service without any unforeseen hitches.


Our Food & Menus


We will build menus around our ideas which are suitable for your event and work together with you and your specific requests. Our menus are designed to be balanced and cost effective with quality at the heart of what we do. We will use our reputable suppliers using local wherever possible. We can cater for every dietary requirement, allergens and intolerances which will need to be established at the point of contact. All allergen information will need to be established as soon as possible so we can plan this specialised food well in advance.


Food safety & Quality


All food providers must work under the Government Food Hygiene Regulations. This means that the law states that food should be consumed within 4 hours from delivery and hot held for no longer than 2 hours. We will not accept any liability for food consumed after these timings. We will follow all relevant HACCP guidelines at all stages of the food journey from the food delivery to our unit, storage, preparation, cooking, hot or cold holding and disposal.


Bookings and Payment


All bookings will be subject to a 25% deposit of the estimated bill which will secure your event date. The date will only be held for 14 days prior to the deposit being received. An invoice will be generated in advance of your event and the full amount will be required to be paid no later than five days before your event. All payments can be made through BAC’s payment (details on the invoice) Cash and cheques can only be accepted with prior notice. Depending on the type of food ordered it will also be subject to a delivery charge which will be discussed at the time of the booking.
We have the right to pass on unpaid invoices to a collections company if not paid within the 4-week period after the event taking place. All recovery payment costs to the company such as solicitor fees etc will be passed on to the client as part of this process.


Cancellation policy


Event cancellations are subject to an effective timeline. Gnarly Tree will be required to pre plan your event by purchasing the required food and consumables in advance so the cost of this will be recouped if you cancel your event. The requirements of cancellation are a percentage of your final invoice and are as follows:
3 months in advance – enough time to cancel so no charge


8 weeks in advance – 40% of invoice required


4 weeks in advance – 80% of invoice required


2 weeks in advance – 90% of invoice required


1 week & No notice will require the full amount of the invoice to be paid.


Equipment


Any equipment, whether owned or hired on your behalf will be charged for if damaged, lost or stolen. The items will be charged at full replacement costs to the client. We will aim to recover our equipment on the day or the day after your event so access to the venue will be required for us to do so. We would appreciate our equipment to be collected in a clean and organised condition. Any dirty crockery from the said event will be subject to a cleaning charge.


Price changes


I’m sure you are all aware its quite difficult out there with the cost of living and the price of food. Therefore, we reserve the right to change quotation prices accordingly to the current climate. We will notify you in advance of any changes but aim to keep food quotes accurate as humanly possible.


Data protection


Gnarly Tree value the importance of data protection and we can confirm that we will comply with the provisions of the data protection act 2018 when processing personal data about our clients. Your data will be confidentially held and stored securely by us. We will not give information to any third parties. By booking an event with us you are agreeing to personal information being collated for the interest of your event.


Liability


Gnarly Tree food Events have full public and employee liability insurance to the value of £4,000 000. Our certificate can be obtained upon request by contacting us direct.
No liability is accepted by Gnarly Tree Food Events for the failure of unforeseen circumstances such as fire, flood, electric/gas cuts, obstructions, accidents or anything beyond our control.


We will undertake a site visit to establish access, the layout and cooking facilities prior to your event. This will enable us to quote accurately for your event and rectify any potential issues at the venue. Any additional requirements on our behalf will be quoted as part of the function.


Complaints


In the unlikely event of complaints against Gnarly Tree Food Events with the service, food or staff etc. Please contact us direct in writing with your specific complaint to our email address-
